MANA 2028-2029 Host Proposals

MANA is seeking hosts and organizers for the 2028 and 2029 MANA Annual conferences, to be held the 3rd week of September. The successful applicant(s) will be expected to produce and host an exciting and interactive event, consistent with previous MANA conferences. Preferred criteria and roles are detailed below.

Preferred location criteria:

  • Dates: 3rd week of September
  • Venue:  University conferencing venue with multiple meeting spaces in one building, or other low-cost facilities

Host Roles and Responsibilities:

  • Facilitate an interactive experience for conference attendees.
  • Ensure diversity and inclusion in the organized conference program.
  • Ensure an environment that is supportive of and accessible to trainees and early-career members.
  • Organize conference schedule and logistics (e.g., deadlines, website development, venue layout, registration and abstract submission process).
  • Assemble the Scientific Organizing Committee and set the scientific program for the meeting
  • Review abstracts and select speakers.
  • Coordinate with stakeholders (e.g. MANA interest groups, workshop leaders, corporate members) in the context of organizing and executing the conference content.
  • Coordinate with the MANA Awards Committee for developing awardee lecture schedules and judging needs.
  • Coordinate social programs. This includes providing one or more social or networking events (whether part of the posters or separate) and coordinating with other groups (e.g. MANA Early Career Members) who might hold events.
  • Participate in promotion and advertisement of the conference.

Compiled information on the following: Ability to host 250-350 members Ability to have 2-3 concurrent sessions Ability to support varying diets when it comes to beverages and food (e.g. vegetarian, vegan, etc.) Ability to retain room where sponsors have their set up 24/7 (so that they don’t have to take anything down) Sufficient space to allow members to have downtime/small meetings Fees for venue, AV, poster boards (200-250 split over 3 days), beverages and food, insurance Room blocks (number and fees) Transportation to/from conference venue and to/from airport Timeline/due dates for fees and policy for cancellation Badge printing Please consider the following information as well: Past conference attendance: 269 (2019), 265 (2022), ~220 (2023), 252 (2024), 250 (2025), 256 (2026). We suggest aiming for the biggest room hosting closer to 300. There are typically two parallel sessions at a given time. There is no fixed time regarding the date although the target is typically September/October. We would need to consider conflicts with other conferences should that time frame not be followed. There are no strict expectations for the social event/reception. The conference budget including plenary speakers is ~$80K. Timing: During the week preferred, Sept-Nov depending on venue availability. Note though that October is difficult for federal employees. Duration: Monday evening interactive forums and reception, 3 days of combined interactive sessions and platform talks. Prior events have not been recorded since this is an in-person conference. *
